Meetings

Recording and meetings

Capture or import audio, write summaries and return to a checked meeting record.

Record a meeting

  1. On Home, choose Record. Check Microphone, System audio and the Spoken language.
  2. Pick a preset if it helps: Meeting records both sides; Lecture records the microphone only and names the recording after the course.
  3. Choose Start recording. The transcript appears as people speak. Write in Notes beside it: These notes steer the summary. Mark now drops a marker at the current moment.
  4. Use Pause recording and Resume recording as needed, then Stop & save.
  • After you stop, the built-in model writes the summary and builds the knowledge map on its own. A provider you configured never runs automatically; with one selected, you start the summary yourself.
  • Live summary and live map views appear while you record, on Macs and on qualifying Windows computers.
  • If the computer crashes or loses power, Home offers Recover Interrupted Meetings at the next start.

Import audio or a YouTube link

  1. On Home, switch to Import. Choose Add audio for a file, or Paste YouTube link on macOS and Windows.
  2. Set the Spoken language: Mainly Chinese · Traditional output, English only, or Other languages or automatic detection. Import stays disabled until a language and a compatible model are chosen.
  3. With the built-in model selected, tick Also create a local summary and node map to get the summary with the transcript.
  • Supported files: MP4, M4A, WAV, MP3, FLAC, OGG, Opus, AAC, MKV, WebM and WMA.
  • YouTube imports fetch audio only, up to 4 hours or 512 MB, and need the internet for the download.
  • To redo a transcript with another model, use Enhance in the transcript toolbar. The old transcript stays until the new one is ready.

Summaries and templates

  • Choose a Template: 24 are built in, including Meeting Notes, 1:1 Check-in and Lecture. Customize a copy to make your own. Template names are in English in both languages for now.
  • Set the summary language. Auto uses the transcript's main language; 30 languages are available.
  • Generate Summary or Regenerate Summary at any time. Model for this summary picks a built-in model for that one run only.
  • Edit the summary in place (type / for commands), then Save Changes. The line Original output: built-in model records where the text was generated, and gains · Edited once you change it.
  • Export to Markdown, HTML or PDF. Draft writes a follow-up email or status update, and Study exports flashcards for Anki or Quizlet.

Ask your meetings

  1. Open Ask OptiVerse Studio from the sidebar to ask across meetings, or Ask inside one meeting.
  2. Set the scope: All meetings, This meeting, or a Date range.
  3. Read the Sources under the answer: numbered chips with the meeting and time. Open one to land on the cited lines, with the recording cued there.
  • Ask answers from your meetings only. Questions about the assistant itself get a fixed reply.
  • An answer that cannot be checked within 60 seconds is stopped, with a suggestion to narrow the scope or ask something more specific.

Library, action items and deleting

  • Search meeting content... in the sidebar searches inside meetings; the Library's own search filters by title.
  • Card badges say what a meeting still lacks: No summary, Transcript only, Recording unavailable, or how many items are open.
  • The Action items tab gathers every meeting's tasks, with search and the completed ones.
  • For a recurring meeting, the recall pane shows Still open from last time. Titles are matched on their Latin letters and digits, so a title written only in Chinese is not matched yet.
  • A meeting's Map holds its notes map, summary map and knowledge map. The knowledge map is built in the background after the summary.
  • Deleting a meeting removes its transcript, summary, recording, recovery copy, action items and index entries. It cannot reach files you exported, your backups, or anything already sent to a provider.
